In brief: we collect what we need to run your account, process your orders and distribute your releases. Payments are handled by Stripe, PayPal, NOWPayments and Coinbase Commerce, and we never store your card number. We do not sell your personal information. You can ask to see, correct or delete your data at any time by emailing [email protected].
1. Who we are
World Wire is operated by WGT LLP ("we", "us" or "our"), 1820 Raleigh Rd, New Richmond, Wisconsin 54017, United States. For the purposes of data protection law, WGT LLP is the controller of the personal information described in this policy. You can contact us about privacy at [email protected].
This policy applies to the website at https://world-wire.com/, your customer account and dashboard, and our communications with you. It does not apply to third-party websites, including publishers that carry your press releases, which have their own privacy policies.
2. Information we collect
Information you give us
- Account details — name, email address, password (stored in hashed form), company name, and optional details such as phone number and job title.
- Billing details — billing name, address, country and tax identifiers where needed for invoices.
- Release content — the text, images, quotes, links and media contact details you submit for distribution or writing. Note that release content is intended for publication, so any personal information you include in it (such as a media contact name and email) will become public.
- Communications — messages you send to our support or editorial teams, and any feedback or survey responses.
Information collected automatically
- Usage and device data — IP address, browser type, device information, pages visited, referring pages, and the date and time of your visits.
- Cookies and similar technologies — see section 5 below.
Information from third parties
- Payment processors — confirmation that a payment succeeded, the amount, the last four digits and type of card, PayPal transaction identifiers, or crypto transaction identifiers and wallet addresses used for payment.
- Fraud prevention signals — risk assessments provided by our payment processors.
- Distribution partners — links and status information about where your release was published, used to build your placement report.
3. Payments: what we do and do not see
Payments are processed by independent payment providers:
- Stripe for credit and debit cards;
- PayPal for PayPal payments; and
- NOWPayments and Coinbase Commerce for cryptocurrency payments.
Your card details and payment credentials are entered directly with these providers. We never receive or store your full card number or security code. The providers process your payment information under their own privacy policies and security standards and may act as independent controllers for purposes such as fraud prevention and regulatory compliance. For crypto payments, please remember that blockchain transactions are public and permanent by design, and we cannot alter or remove them.
4. How we use your information and our legal bases
- To provide the Services — creating your account, processing orders and credits, reviewing and distributing your releases, writing releases you order, and delivering placement reports. Legal basis: performance of our contract with you.
- To process payments and prevent fraud — confirming payments, issuing invoices and refunds, and detecting abuse. Legal basis: contract, legal obligation and our legitimate interest in preventing fraud.
- To communicate with you — order confirmations, editorial feedback, account notices and support replies. Legal basis: contract and legitimate interest.
- To send marketing — news, tips and offers about World Wire. Legal basis: your consent or, where permitted, our legitimate interest in telling existing customers about similar services. You can unsubscribe at any time.
- To improve and secure the Site — analytics, troubleshooting, and protecting our systems. Legal basis: legitimate interest.
- To meet legal obligations — tax and accounting records, responding to lawful requests, and enforcing our Terms of Service. Legal basis: legal obligation and legitimate interest.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising in exchange for money.
5. Cookies
We use cookies and similar technologies to:
- Keep the Site working — essential cookies that keep you logged in, remember your cart and protect forms against abuse. These cannot be switched off.
- Remember preferences — such as your display settings.
- Understand usage — analytics cookies that tell us which pages are useful, in aggregate form.
- Process payments — our payment providers may set their own cookies during checkout for security and fraud prevention.
Where the law requires consent for non-essential cookies, we will ask for it first. You can also control or delete cookies through your browser settings, although some parts of the Site may not work properly without them.
6. How we share information
We share personal information only as needed to run our business, including with:
- Payment processors — Stripe, PayPal, NOWPayments and Coinbase Commerce, as described above.
- Distribution partners and publishers — who receive your release content, including any media contact details you place in it, for publication.
- Service providers — hosting, email delivery, customer support, analytics and accounting providers who act on our instructions and are bound by confidentiality.
- Professional advisers — lawyers, accountants and auditors, under duties of confidentiality.
- Authorities — where required by law, regulation or valid legal process, or to protect the rights, property or safety of our customers, us or others.
- Business transfers — a buyer or successor if our business is reorganised, merged or sold, subject to this policy.
7. How long we keep information
- Account information — for as long as your account is open, and for a reasonable period afterwards in case you return or a question arises.
- Order, payment and invoice records — for the period required by tax and accounting law, typically up to seven years.
- Release content and placement reports — while your account is active, and afterwards as part of our records of what was distributed. Published releases may remain on partner sites under those publishers' own policies.
- Support messages — usually up to three years after the conversation ends.
- Analytics data — in aggregated or pseudonymised form, typically for no more than 26 months.
When information is no longer needed, we delete or anonymise it.
8. Your rights
Depending on where you live, you may have some or all of the following rights:
- Access — to ask for a copy of the personal information we hold about you.
- Correction — to ask us to fix inaccurate or incomplete information.
- Deletion — to ask us to delete your information, subject to legal record-keeping requirements.
- Restriction and objection — to ask us to limit or stop certain processing, including processing based on legitimate interests and all direct marketing.
- Portability — to receive information you gave us in a structured, machine-readable format.
- Withdraw consent — where we rely on consent, at any time, without affecting earlier processing.
- Complain — to your local data protection authority if you are unhappy with how we handle your data.
Residents of the EEA, UK and Switzerland
The rights above reflect the GDPR and UK GDPR. We respond to requests within one month, which may be extended where the law allows.
California and other US state residents
If you live in California or another US state with a comprehensive privacy law, you have the right to know what personal information we collect, use and disclose; to request deletion and correction; and to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined by the CCPA, and we do not use or disclose sensitive personal information for purposes that would require an opt-out. We will not discriminate against you for exercising your rights. You may use an authorised agent to make a request on your behalf.
How to exercise your rights
Email [email protected] or use our contact page. We may need to verify your identity before acting on a request. Many account details can also be updated directly from your account.
9. Security
We use reasonable technical and organisational measures to protect personal information, including encrypted connections (HTTPS), hashed passwords, access controls limited to staff who need them, and trusted hosting and payment providers. No online service can be completely secure, so please use a strong, unique password and let us know immediately at [email protected] if you suspect any unauthorised access to your account.
10. International transfers
We and our service providers may process personal information in countries other than the one where you live, including countries whose data protection laws differ from yours. Where we transfer personal information out of the EEA, UK or Switzerland, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, or transfers to countries recognised as providing adequate protection. You can ask us for more information about these safeguards.
11. Children
Our Services are intended for businesses and professionals and are not directed to children. We do not knowingly collect personal information from anyone under 16, and accounts are only available to people aged 18 or over. If you believe a child has given us personal information, please contact us and we will delete it.
12. Changes to this policy
We may update this policy from time to time. The "last updated" date shows when it last changed. If the changes are significant, we will let you know by email or through a notice in your dashboard before they take effect.
