Every release submitted to World Wire is read by a member of our editorial team before it goes out. Our publishing partners trust us to send them news that is accurate, clearly written and genuinely newsworthy. Following these guidelines protects that trust, and it also gives your release the best chance of being picked up.
Tip: most delays come from missing contact details, too many links, or promotional language. Check those three things before you submit.
1. What makes a release acceptable
- It is real news. A launch, partnership, funding round, hire, milestone, event, research finding or other development that is new and of interest to readers.
- It is factual. Claims can be backed up, figures are accurate and sourced where relevant, and nothing important is left out.
- It reads like news, not an advertisement. Write in the third person, use a neutral tone, and let the facts carry the story. Avoid phrases like "best ever", "revolutionary" or "act now" unless they are inside a properly attributed quote, and even then keep it measured.
- It identifies the source. The organisation issuing the release is clearly named and can be verified, with a working website and real contact details.
- It is original. The text is your own, or you have the rights to use it.
2. Formatting requirements
Structure
- Headline: clear and specific, ideally under 100 characters. Use title case or sentence case, but not ALL CAPS.
- Subheadline (optional): one sentence adding a key detail.
- Dateline: city, state or country, and release date at the start of the first paragraph.
- Lead paragraph: who, what, when, where and why in two or three sentences.
- Body: supporting detail, context and background in short paragraphs.
- Boilerplate: a short "About [Company]" paragraph.
- Media contact: see section 6 below.
Length
Releases should be between 300 and 800 words. Around 400 to 600 words is ideal for most announcements. Releases below 300 words often lack the detail publishers need. Releases over 800 words may need editing down, or may incur an additional fee depending on your package.
Style
- Use correct spelling, grammar and punctuation, in a consistent variety of English.
- Avoid excessive bold text, exclamation marks, emojis and symbols such as ™ or ® after every mention of a brand.
- Spell out abbreviations on first use.
- Do not include HTML code, tracking scripts or embedded forms.
3. Links
- You may include up to 3 links in the body of your release, plus one website link in the boilerplate. Specialty packages may have different limits, which are shown on our pricing page.
- Links must point to pages directly relevant to the announcement, and must load correctly.
- Use natural, descriptive anchor text. Keyword-stuffed anchors will be edited or removed.
- We do not accept links to sites containing prohibited content, malware, link shorteners that hide the destination, or affiliate and referral links.
- Publishers may apply their own link attributes (such as "nofollow" or "sponsored") in line with search engine guidelines. We do not control or guarantee link attributes.
4. Images and media
- You may attach a logo and up to the number of images allowed by your package. JPG or PNG files of at least 800 pixels wide work best.
- You must own every image or have permission to use it for distribution. Do not use images taken from search engines or stock sites without the correct licence.
- Images must be relevant to the announcement and must not contain prohibited content, misleading graphics or large blocks of promotional text.
- Add a short caption and, where needed, a photo credit.
5. Quotes
- Include at least one quote from a named person who has a real role in the news, such as a founder, executive, partner or customer.
- Quotes must be approved by the person they are attributed to. Do not invent quotes or attribute them to people outside your organisation without their written consent.
- Good quotes add perspective or explain why the news matters; they should not simply repeat facts from the body.
6. Contact block
Every release must end with a media contact block containing:
- the contact person's name (or a named press office);
- the organisation's name;
- a working email address and/or phone number; and
- the organisation's website.
Remember that this information will be published. Use a business contact rather than a private personal email or phone number where you can.
7. Prohibited content
We will not distribute releases that contain, promote or link to any of the following:
- Adult content — pornography, sexually explicit material or escort services.
- Gambling where it is illegal — or gambling promotions that target jurisdictions where they are not licensed or permitted. Licensed operators may be accepted at our discretion with proof of licence.
- Hate and harassment — content that attacks or demeans people based on race, ethnicity, religion, nationality, disability, gender, sexual orientation or similar characteristics.
- Weapons — the sale or promotion of firearms, ammunition, explosives or other weapons, or instructions for making them.
- Illegal drugs — and the promotion of controlled substances or drug paraphernalia.
- Misleading health claims — claims that a product cures, treats or prevents disease without appropriate approval or evidence, "miracle" weight-loss products, or unproven medical treatments.
- Price predictions and investment guarantees — promises of returns, "guaranteed profit", forecasts of future share or asset prices, or anything that could be viewed as unlicensed investment advice.
- Crypto token speculation and ICO hype — price targets, "moon" or "100x" claims, token presale or ICO promotions designed to drive speculative buying, airdrop schemes, or pump-style announcements.
- Defamation and attacks on third parties — negative press, accusations or unflattering claims about named individuals, competitors or organisations.
- Political campaigning — content endorsing or opposing candidates, parties or ballot measures, or soliciting political donations. Factual announcements from non-partisan organisations may be accepted.
- Plagiarised content — text copied from other sources, or releases previously distributed elsewhere without substantial new information.
- Fake news and misinformation — fabricated events, false statistics, fake endorsements or deliberately misleading claims.
- Unlawful or harmful activity — scams, counterfeit goods, hacking tools, services that help people evade the law, or anything else illegal in the places where the release will be distributed.
This list is not exhaustive. Our editors may decline any release that they believe could mislead readers, harm the public, or expose World Wire or our partners to legal or reputational risk.
8. Crypto, Web3 and finance releases
We welcome releases from legitimate blockchain and Web3 companies and projects. To be accepted, a crypto-related release should:
- make a factual announcement, such as a product or protocol launch, exchange listing, partnership, security audit, funding round, regulatory milestone or key hire;
- clearly identify the team or company behind the project, with a working website and verifiable contact details;
- avoid any statements about future token prices, expected returns or "investment opportunities"; and
- include an appropriate risk disclaimer where the subject involves digital assets or financial products.
Finance releases are held to the same standard: they must be factual, include any disclosures required by law, and must not promise returns or give personalised investment advice. We may ask for supporting evidence such as audit reports, licences or regulatory registrations.
9. Our right to edit
To keep releases consistent and suitable for our partners, our editors may make minor changes for spelling, grammar, punctuation, style, formatting and length, and may remove links, images or wording that do not meet these guidelines. We will not change the meaning of your announcement. If more substantial changes are needed, we will ask you to revise the release and resubmit it.
10. Review outcomes
- Approved — your release is scheduled for distribution, normally within 24 to 48 hours.
- Edits requested — we will explain what needs to change. You can update the release in your dashboard and resubmit.
- Rejected — the release cannot be distributed. If the issue cannot be fixed, the credit is refunded as described in our Refund Policy.
Publishers in our network apply their own editorial standards too, and may decline or edit content even after our approval. See our Terms of Service for details.
11. Questions
